Virtual Assistant Time Tracker
Catalyst Outsourcing includes a built-in time tracker with every engagement, so you can see exactly what your virtual assistant is working on in real time. Live timer, optional screenshots, activity levels, and automatic weekly reports — no extra software to buy and nothing for you to set up.
A live timer on web, desktop, and mobile
Your VA taps a client to start a one-click timer that runs on the web dashboard, the always-on-top desktop widget, and native iOS and Android apps. Time is captured automatically and autosaved every few seconds, so there are no manual timesheets to reconcile and nothing is lost to a crash.
Activity levels, without the surveillance
The tracker measures mouse movement, clicks, and keystroke counts to show productive versus idle time as a simple activity percentage. It counts keystrokes, never their content, so you get an honest picture of focus without invading your assistant privacy.
Optional screenshots you both control
Interval screenshots are opt-in per project. When enabled they are captured every 10 minutes, blurred by default, and reviewable by your VA before they are shared — visibility when you want it, not monitoring for its own sake.
Automatic weekly and per-project reports
Every Monday a clear breakdown of where the hours went lands in your inbox: hours by client and project, billable versus internal split, and optional attached screenshots. Approve, adjust, or forward straight to finance with one-click CSV, XLSX, and PDF export.
Included free with every engagement
Most clients arrive juggling a spreadsheet and an $8-plus-per-month tracker. Catalyst's tracker is built into the app your assistant already works in, so the VA is onboarded on day one and there is never a second bill.
Download the desktop tracker on any computer
The VA Tracker desktop agent installs on Windows 10 and 11, macOS 11 or newer, and Linux (AppImage) in about two minutes. Your assistant signs in with the same Catalyst login and the timer runs quietly in the system tray or menu bar. It is lightweight, auto-updating, and free with every engagement — no license keys and no IT ticket required.
Frequently asked questions
Do I have to pay extra for the time tracker?
No. Every Catalyst engagement includes the tracker at no extra cost. You are not paying for another SaaS on top of your VA hours.
Do screenshots invade my VA privacy?
Screenshots are opt-in per project. When on, they are taken every 10 minutes, blurred by default, and reviewable by the VA before they are shared with you. Activity metrics are keystroke counts, never keystroke content.
What if my VA works offline or off-camera?
The mobile app queues time and screenshots locally, then syncs when the connection returns. VAs on client site visits, calls, or errands stay billable without doing anything manually.
Can I export the data to my own tools?
Yes — CSV, XLSX, and PDF export are one-click. There is also a REST API and a Zapier integration if you want to route data into QuickBooks, Xero, or your own dashboards.
How is this different from OnlineJobs.ph TimeProof, Hubstaff, or Time Doctor?
Those are tools you run yourself — you still source, vet, onboard, and manage the person using them, and Hubstaff and Time Doctor bill per seat (roughly 7 to 25 US dollars per user each month). Catalyst gives you a vetted VA who is already onboarded on the tracker, with recurring routines, reports, and invoicing in the same workspace, included at no extra cost. TimeProof is free but built around the OnlineJobs.ph DIY marketplace, while Hubstaff and Time Doctor add deeper surveillance such as URL, app, and GPS logging that we deliberately do not.
