SEO virtual assistant: what to hand over and what to keep

By Catalyst Outsourcing ·

An SEO virtual assistant takes the weekly search work off your desk: page fixes, publishing, internal links, Business Profile updates and the monthly report. Here is what to delegate, what to keep, and how to give access safely.

SEO virtual assistant: what to hand over and what to keep

An SEO virtual assistant is a remote team member who does the repeatable parts of search engine optimisation for you: keyword lists, title and description fixes, publishing posts, internal links, Google Business Profile updates and the monthly report. They follow a plan you agree with them rather than setting it, so strategy, the final say on what gets published, and anything to do with buying links stay with you or a specialist.

SEO suits an assistant because most of it is steady, checklist work that pays off slowly. Google's own starter guide says some changes take effect in a few hours and others take several months, and that you should wait a few weeks before judging whether a change helped. That is a poor fit for a busy owner who opens the website once a month, and a good fit for someone whose job is to work through the same list every week.

Key takeaways

  • An SEO virtual assistant runs the repeatable work: keyword lists, page fixes, publishing, internal links, Business Profile posts and the monthly report.
  • Keep strategy, final approval and anything involving paid links. Google counts buying links for ranking as link spam.
  • Give access through user roles, never your own password. Search Console and Business Profile both let you add someone who cannot remove you.
  • Judge the first three months on work done and on Search Console trends, not on one ranking in week two.

What an SEO virtual assistant actually does

Most of the week goes on small jobs that nobody notices until they pile up. A typical split looks like this.

TaskWhat it looks like in practiceHand it over?
Keyword listsPulling the searches your buyers use for each service, grouped by page, with the page that should answer each oneYes, you approve the final list
Page fixesRewriting title tags and meta descriptions, adding alt text to images, fixing heading orderYes
PublishingFormatting a post you or a writer drafted, adding images, links and the description, then scheduling itYes
Internal linksLinking new posts to the service pages they support, and older posts to the new onesYes
Google Business ProfilePosting updates and photos, keeping hours current, drafting review replies for you to approveYes, with a manager role
Health checksFinding broken links, pages Google has not indexed and pages that lost clicks, then logging themYes, fixes that touch the site's code go to your developer
Monthly reportClicks, impressions and the pages that moved, from Search Console, with a short note on what was doneYes
StrategyDeciding which services to push, which pages to build next and what to stop doingNo

The table is also a useful test of whether you need an assistant at all. If you cannot name the pages you want to rank and the services they sell, start there. An assistant without a plan will stay busy and change very little.

What to keep for yourself

Three things should not leave your desk, however good the assistant is.

The plan and the final word

You know which jobs make money and which customers you would rather not have, and that is what decides which pages matter. An assistant can suggest topics from what people search, but you choose. The same goes for anything published under your name: read it before it goes live, at least for the first two months.

Links you pay for

Link outreach is where outsourced SEO most often goes wrong. Google's spam policies list buying or selling links for ranking purposes as link spam, including exchanging money, goods or services for a link. The same page says sites that break the policies may rank lower or not appear in results at all. So the rule for an assistant is simple: they can find sites that might mention you and draft the email, but no money, free product or swap changes hands for a link without your sign-off, and the answer to a paid link should be no.

How much AI writes for you

Assistants increasingly work with AI tools, and so do the businesses that hire them. IMDA reported in October 2025 that 14.5% of Singapore SMEs adopted AI in 2024, up from 4.2% in 2023. That is fine for outlines, first drafts and tidying a description. It stops being fine at volume: Google's scaled content policy covers using generative AI tools to make many pages without adding value for users. Agree a rule up front, such as no page goes live unless a person who knows the subject has added something the tool could not.

How to give access without handing over the keys

The usual mistake is sharing the owner's Google password. You do not need to, because the tools an SEO assistant uses all have user roles.

  • Google Search Console: Add the assistant as a full user. Google describes a full user as someone who can view all data and take some actions, while an owner can add and remove other users. Keep ownership yourself, and the property cannot be taken from you.
  • Google Business Profile: Add them as a manager. Google says managers have mostly the same access as owners, except that they cannot add or remove users or remove the profile.
  • Your website: On WordPress, an Editor account lets someone publish and edit posts without changing plugins, themes or other users. Keep the Administrator login for yourself or your developer.
  • Analytics and anything with billing: Read access is usually enough for reporting.

When the arrangement ends, remove the user from each tool on the same day. A shared password has to be changed everywhere it was reused; a removed user is simply gone. Our guide to sharing accounts safely with a virtual assistant covers password managers for the logins that have no user roles.

Write the checklist before the first task

Search work goes wrong in small, repeated ways: a description that is cut off in results, an image with no alt text, a post with no link to the service it is meant to sell. A short checklist fixes most of that. Here is one for publishing a blog post.

  1. Check the post answers the question in its title within the first paragraph.
  2. Write a title tag that says what the page is, and a meta description of one or two sentences that is unique to the page. Google's starter guide says a good description is short, unique to one page and includes its most relevant points.
  3. Give every image a file name and alt text that describe it.
  4. Add two or three links to related posts and one to the service page the post supports.
  5. Use a short URL made of words, not numbers.
  6. Publish, then inspect the URL in Search Console and request indexing.
  7. Log the URL, the date and the main search it targets in the shared sheet.

Write one of these for each recurring job: page fixes, Business Profile posts, the monthly report. If you have not written a process down before, this guide to writing SOPs shows the format, and onboarding a virtual assistant covers the first two weeks.

Images are a copyright question, not just an SEO one

An assistant asked to find a picture will often reach for a search engine. In Singapore, IPOS puts it plainly: copyright is infringed when someone uses or copies a work without the owner's permission or licence. Tell your assistant which sources are allowed, usually your own photos and a paid stock library, and that a picture found through search is not one of them.

When an SEO virtual assistant is the wrong hire

An assistant is a good way to get steady work done, but a poor answer to some problems, and it pays to know which ones before you start.

  • You have no plan yet: pay a specialist for a one-off review first, then give the assistant the list it produces. Our piece on what an SEO specialist does explains the difference.
  • The site has a deep technical problem: a redesign that lost traffic, say, or pages Google cannot render after a move to a new domain, which needs a developer or a technical SEO rather than an assistant.
  • You want a ranking promised: Google says no one can guarantee a number one ranking, and to find someone else if they claim they can. That applies to any assistant or agency.
  • You cannot review work for the first month: the first few weeks set the standard, and if nobody checks them the early mistakes turn into habits.

If two of those apply, wait. If none do, the work is usually steady enough for one person on a part-time or full-time arrangement. Content and marketing assistants often cover SEO alongside writing and social posts, which can be a better use of a full week.

How to judge the first three months

Rankings for one phrase are a noisy signal, and they move for reasons that have nothing to do with your assistant. Judge the first quarter on things you can count.

MonthWhat you should see
Month 1The checklist in use, every agreed page fixed, a clean keyword list approved by you, the first report delivered on time
Month 2New posts published on schedule, internal links added, no indexing errors left open in Search Console
Month 3Impressions and clicks in Search Console trending up for the pages that were worked on, with the report saying which changes came first

If month three shows the work done but no movement, look at the plan before you blame the person doing it. The pages may target searches nobody makes, or searches the big sites own. That is a strategy problem, which is why strategy stayed with you.

Frequently asked questions

What does an SEO virtual assistant do?

They do the repeatable search work: keyword lists, title and description fixes, alt text, publishing posts, internal links, Google Business Profile updates and a monthly report from Search Console. They follow your plan rather than setting it.

Can a virtual assistant do SEO without a specialist?

For a small site with a clear plan, often yes. If you have no plan yet, or the site has technical problems such as a migration that lost traffic, get a specialist to review it first and give the assistant the resulting task list.

How much access should an SEO virtual assistant have?

Full user in Search Console, manager on Google Business Profile and an Editor account on WordPress. Keep the owner and administrator logins yourself, and remove each user the day the arrangement ends.

How long before an SEO assistant's work shows results?

Google says some changes take effect in a few hours and others take several months. Expect to judge the work done in the first month and the trend in Search Console by the third.

Should my assistant build backlinks?

They can find sites that might mention you and draft the outreach email. They should not pay, swap or give products for links, which Google's spam policies count as link spam.
