Every hour spent on intake and scheduling is an hour nobody bills

New enquiries wait for a reply. Diaries get juggled by email. Time entries pile up until month-end and the bills go out late. In a small firm that work lands on the lawyers, often at night. A legal virtual assistant takes it during the day.

Intake, diary, documents and billing: what to hand over

Your assistant works inside your inbox, diary and practice management software during your working hours, with their own login.

  • New enquiries answered, intake forms sent and consultations booked
  • Conflict check details gathered for a lawyer to run
  • Hearings, filing dates and deadlines entered in your diary, with reminders
  • Documents formatted and assembled from your templates, for a lawyer to check
  • Matter files opened, named and kept in order
  • Time entries chased from fee earners and bills prepared for approval
  • Overdue invoices followed up by email
  • Client updates and document requests sent on schedule

Your assistant runs the admin. Your lawyers give the advice.

A legal virtual assistant isn't a lawyer or a paralegal and doesn't give legal advice. They prepare, chase and file. Anything that needs legal judgement or a practising certificate stays with your lawyers, who check the work before it goes out.

Can you keep your assistant out of files they shouldn't see?

Yes. Your practice software's user roles decide what they can open. Give them their own login, keep partner-only and HR files out of reach, and remove access whenever you like.

Will they know your practice software, or will you train them from scratch?

Tell us your practice software on the call and we'll look for assistants who've worked in it. Your intake steps and billing routine go into Crewhall as routines, written once and ticked off step by step, so the work is done your way every time.

A legal secretary, a freelancer or a managed assistant: what each costs you

A local legal secretary costs a full salary plus everything around it. A freelancer means a new person on your files every few months. A Catalyst assistant starts from around $8.80 an hour on a monthly plan, up to 70% below a local hire, and we handle the recruitment, payroll and equipment.

One assistant who learns your firm, with a trained backup when they're away

The same person works your matters every week and learns your templates and your clients. If they're on leave, a trained backup picks up from the routines in Crewhall. If the fit isn't right, we match you with someone else. You see the work in Crewhall, which comes free with your assistant: chat, routines and an end-of-day report with what they did and the hours they worked.

How it starts

  1. Book a call. Tell us the work you want off your desk, the software you use and your hours.
  2. Meet your assistant. We shortlist pre-vetted assistants and you meet them before anyone starts.
  3. Write it down once. Your steps go into Crewhall, the app your assistant works in, as routines during onboarding.
  4. Start on live work. Your assistant picks up your files in your working hours, and you read their end-of-day report each evening.

Legal virtual assistant questions

What does a legal virtual assistant do?

The admin around your matters: intake, diaries and deadlines, document formatting from your templates, file management, time entries, billing and client updates. They work remotely, inside your systems, in your hours.

Is a legal virtual assistant the same as a paralegal?

No. Your assistant does administration and doesn't give legal advice or do work that needs a lawyer's judgement. If you need a paralegal, tell us on the call and we'll say plainly whether it's a fit.

How much does a legal virtual assistant cost?

From around $8.80 an hour on a monthly plan, part-time or full-time. That's up to 70% below a local hire, and the recruitment, payroll and equipment are ours.

How do I keep client files confidential?

You control the access. Your assistant works only inside the systems you give them, with their own login and the permissions you set, and you can remove it whenever you like. Bring your firm's confidentiality requirements to the call.

Can they handle client intake?

Yes. They reply to new enquiries by email and through your website forms, send your intake questions, gather conflict check details for a lawyer to run and book the consultation in your diary.

Will they know my practice management software?

Tell us which one you use on the call and we'll look for assistants who've worked in it. Your steps go into Crewhall as routines either way.

Will they work my hours?

Yes. Assistants are matched to your working hours.

What if they aren't the right fit?

Tell us and we'll match you with someone else.

How fast can I start?

Most clients are matched and onboarded within two weeks of the first call; the exact time depends on the role.
